Are you archiving your email on a steady basis? If you’re not, you’re not alone. This is the second post in a series of blogs addressing the importance of backing up and archiving. Often, companies do not understand the advantages a proper email archiving system offers. It is different than simply storing email on an Exchange server with quota restrictions to control storage growth.

Email archiving is creating an index of each message to make sure it can be easily found later and then storing the message. You can enlist an email archiving system to accomplish this; index and store the messages on-site; or duplicate each message and send them to a third party for indexing and storage. You can even do a combination, a hybrid approach, of indexing messages on-site and then sending that data to a third party to store.

Benefits of email archiving include:

- Gain a consistent email archive for your legal, regulatory and HR purposes.

- Retain a tamper-proof data trail of email for legal reasons.

- Relieve pressure on email quotas and storage from bigger attachments.

- Reduce the risk when users create local PST files to store emails and elude quota policies.

Since the first email was sent in 1971 by Ray Tomlinson, this form of communication has become indispensable to businesses. A huge part of a company’s institutional memory resides within its email archive. This makes the stakes for failure very high. Email servers by themselves really can’t handle long-term storage for very large volumes of email and attachments. That’s where the robust features of an email archiving system come into play. Here are five tips that may help you with email archiving.

Many industries have data retention cycles which can span three to seven years or longer. The most common complicance regulations are the Health Insurance Portability and Accountability Act (HIPAA), Gramm-Leach-Bliley (GLB) and Sarbanes-Oxley (SOX).

Email is the most common target for archiving but any kind of data could benefit from archiving in principle. How do you use archiving?

Those developers who want to come up with new Internet standards now have a forum to help them do so. The World Wide Web Consortium (W3C) wants to make it easier for developers and others to define Web standards. Currently this is done by creating the standard and then presenting it through a W3C working group. Web standards are commonly used by professional designers to plan projects.

W3C now wants to launch developer community groups that will give them coaching and the W3C infrastructure to create standards that could eventually be used across the entire Web.

The consortium believes this could eliminate the groups that create their own individual standards that are not compatible with each other. W3C wants standards to be royalty free. Right now the W3C is working on standards for HTML5, device APIs, privacy and security standards, and more.

Do you have any ideas you would like to run by W3C for Internet standards? Now’s the time.

Cyber attacks are nothing new but they do seem to be increasing against governments and companies around the world. Google and Amazon have both weathered Internet disruptions, and now, even RSA, the security division of storage giant EMC Corp., suffered what they called an “advanced persistent threat” (APT) recently. RSA was victimized and lost information related to its two-factor authentication products which business people use to login to their corporate VPN.

There are a range of security solutions which can help protect the confidential data you store on our servers. Managed Firewall is the most popular Codero offering used for this. It acts as a protective barrier to stop attacks before they can damage a hosted server and your data. Managed Firewall is completely dedicated to your environment and automatically blocks unwanted incoming traffic to your server based on pre-configured rules. It guards against service interruptions giving you the highest level of security and ensuring business continuity is never impacted.

With Managed Firewall, you’re essentially buying peace of mind by taking a proactive approach against attacks. You can download a data sheet for more information.

With a foot of snow dumped upon us during this blizzard and a state of emergency declared in the area, it made me think about planning for disasters. As someone who has experienced losing data firsthand, I can appreciate the value of having a secure plan in place to prevent it. That is why I find a recent study about disaster recovery plans pretty surprising. Symantec found one out of two small- to mid-size businesses (SMBs) surveyed have no recovery plan in the event of a network outage, loss of data or other IT disaster. The study identified a disaster as anything that causes an outage or data loss, whether it is natural or human-made. It is amazing to see how expensive those outages are. Do you know what physical security is in place in your hosting provider’s data center for backups?

Symantec’s study stated $12,500 disappeared from the business’ bottom line each day of downtime. Over a period of days, that could be devastating to a small business.

Another surprise came when I read the study also showed that one in four of the small- to mid-size businesses surveyed do not view their computer systems as being critical to business.

There seems to be a perception among SMBs that cyber attackes are something only bigger enterprises should be concerned over. But if SMBs are using e-commerce heavily, protecting and securing data should be a priority. So as you grow your online presence, you should grow your security. A disaster recovery plan can be a real competitive advantage in fact.

Disaster recovery normally involves backing up all of a company’s data on backup servers which are easily accessed. Regardless of whether you own your own backup servers or leasing them, companies should develop a system that creates automatic backups of all data inputs, from current data to modified existing files. The disaster recovery plan should include a strategy to recover the lost data and to bring the entire system back online in a short amount of time.

What is your attitude towards disaster recovery? What have you learned from your own data loss experiences?

Majority of SMBs Have No Disaster Recovery Plan. is a post from: Codero dedicated hosting blog

You prolong the life of your car by having it tuned up now and then. But how much consideration have you given to protecting your vital IT systems? Could your business benefit from a server protection plan?

At Codero, the Server Protection Plan is included with all our Managed Hosting plans. Those companies who currently have unmanaged server plans may want to consider the advantages offered through the Codero Server Protection plan.

If you do not have a risk management plan in place, this plan is a great investment. It could actually save you money in the long run because it safeguards your server operations during an unexpected disruption such as an attack on your server. If your server is compromised and you incur bandwidth overages or lose your server configuration, the Codero Server Protection Plan will waive these bandwidth overages and reinstall the operating system at no charge.

Security predictions for 2011 are in full swing this time of year. It really just makes good business sense to fully protect what is helping to run your business.

What do you think? Your comments are welcome.

Mark Twain had this to say about New Year’s Day: “Now is the accepted time to make your regular annual good resolutions. Next week you can begin paving hell with them as usual.” No matter what you think about resolutions, with every new year, most business owners roll out a new marketing plan. How does your company plan to grow business in 2011?

At Codero, we are discovering more and more of our customers are going online to market their products and services. Recent studies and surveys show entrepreneurs plan to increase their 2011 marketing spend both online and in print. The top areas that have the biggest increase in marketing spend in the coming year include web marketing, email marketing, online ads and social media marketing.

Social media in particular is a poised to see a boost in use in the next year so if your business is lacking a Facebook fan page, 2011 could be the year you create one.

Next-generation marketing including Smartphone readable QR codes are also predicted to be a way businesses will reach customers.
Because we are in the hosting business, we are continually studying trends to serve you better and our ongoing research shows IT spending is forecasted to increase next year as well. That’s why we are gearing up right now to launch new initiatives that will meet our customers’ demands for the most relevant offerings.

Reports show SMBs are feeling optimistic and plan to invest in their infrastructure by upgrading existing technology in 2011:

• 29% plan to upgrade software
• 24% will upgrade hardware
• 17% plan to overhaul their websites
• 15% will add or upgrade their mobile technology.

What inspirations do businesses have for the new year? I gathered up some of my favorites that I found online:

Stop blaming the Great Recession

Embrace reinvention

Be 100% in the present with customers and business associates

Show up

Really care about a charitable cause, donate time

So what are you planning to do differently in 2011? We welcome your comments.

Here at Codero, we’ve found those merchants who conduct business with their customers online, come to us with a lot of questions about PCI Compliance. Compliancy is something the Payment Card Industry (PCI) created. They wanted to set forth standards to help alleviate some of the challenges that go along with the transmission, storage and processing of cardholder data.Achieving compliance is a continuous process. But it helps to have a hosting solution that keeps you up and running reliably to accommodate those transactions. It is imperative that your website’s infrastructure is secure as well as your customer’s data. There are four levels of compliancy so your degree of responsibility can vary greatly. If you never process, transmit or store your customers’ credit card data, you can simply complete a self-assessment questionnaire (SAQ) as attestation of compliance. But if you do store credit card data, that’s when Codero advises you to put PCI standard practices into place to secure your networks.

Bob Russo, general manager of the PCI Security Standards Council, says the standard is working but education is needed to make sure smaller merchants know their responsibilities in regards to handling credit cards. He says a browser does not need to be secure but the server holding the data does. That’s where Codero can help.

Codero provides a total solution for you to manage your own PCI compliance. That way you can lesson risk and maintain a secure online transaction process.

Our data center has the technical infrastructure and hardware needed for PCI compliant space including a locked cage and strict access via badge readers. It meets the highest standards to guarantee safety for your information because it is SAS 70 certified.

Becoming PCI compliant is a process you can complete yourself relying upon our technical infrastructure and strategic security partnership.

Here’s an easy way to learn more about PCI Compliance. Take this simple quiz to test your PCI knowledge.
